Customer Relationship Manager.
JRFComputing's CRM system can help with management of all your contacts and keep track of your dealings with them.
The single computer version is given away free (installation costs only) but does support multiple users on that single PC.
Supplied with the CRM package is Microsoft's Free MsSQL 2008 Express package, a fully featured industrial strength database from the World's biggest software supplier. There are a few limitations in this software, limited to 1Gigabyte of memory usage, database cannot be bigger than 10Gigabytes (appoximately 10 million contact records) and there can be no more than 16 simultaneous users. If the Microsoft Solution is not an option then the CRM will work equally well in MySQL version 5 and Oracle 10g again both highly used database engines and both free and suitable for the small business user.
The CRM can control how the contacts can be reached -- letter, email, telephone and SMS.
Integrated with Microsoft software (Offices Products such as Word, Excel etc) and with Sun's OpenOffices range plus third party software for telephone calls (Skype) and SMS messageing (see Links page further details)

The Contacts screen there are no limits to the amount of entries held, NB. when the assigned user logs into the system any outstanding contacts will be shown. Please note the Tool Tip help which is configurable per user so can be switched off and on.
This screen shows what can be extracted from the database, and the formats available to you. There are six standard formats provided, General (all data), a two column name and key listing, two three and four across label formats and an SMS format consisting of name and mobile telephone number. Any combination of selections can be made within this screen to get the listing required.
A wide range of statistical analysis is available to you in a wide variety of forms, and can be tailored by the user for his own requirements. This example shows a breakdown of KICC member data over the specific industry areas.
Addition Features added to the CRM.
Document Management Function. - Any type of computer generated information can be assigned to a CRM Record and can be examined when that given record is retrieved. i.e. An invoice can be scanned and allocated to that individual's record (by dropping it on ) or a photograph, or a peice music, a webpage, an email etc.... and it there for all time.

Pastmembers. No Records are every removed from the database. Once an entry is deleted it is moved from the Active File to a past file where it can be re-activated if necessary.
Most of the features are self configurable and there are no practical limits to the amount or type of data that is entered.
But the more you use the system the more things you will want it to do which is the service I wish to provide for you.

Paintball Data Capture System, with facilities for mass mailing and SMS marketing.
The paintball system is for basic and fast information gathering. People have to fill in an admission form about understanding the terms and conditions of play, email address, mobile phone numbers and other interests are the captured data. This is transfered to the computer, The data can be used for email marketing , those records with a valid mobile phone number are used in SMS marketing campaigns. All mailing details are also recorded. Other interests can be configured and used as required. As people will hopefully be returning again and again there are de-duplication facilities, there is also significant email verification and validation.
As with all of JRFComputing software there is full statistical facilities available.
Horse Show Software
This software is all that is needed to run and manage horse shows efficiently.
This comes in two parts on-line registration and on-the-day registration modules. People can register there animals on line for whatever events have been set to take place. The number of events per show is un-limited and user configerable, the number of rings where these events take place is again configurable.
Features include automatic and overriderable rider number generation. Automatic printable entry forms, Automatic Championship entry for specific events and number of places i.e. who came first and second gets entered. (also includes age dependancy). Automatic Supreme Champion entry - i.e. the Champion of all the championships. Full Financial Control of shows - before and after event. All information retained so competitors do not have to re-register.
Competitors can have and number of animals attached to them, with owner/rider separation.
On the day entry form constructed automatically from the set active show.
Cost of entry automatically calculated with optional donation facilities - Invoice can be printed if competitor requests it. Paid/Unpaid indicator so always in control of finance
After show analysis of event to show how much should have been received and how much is still outstanding and from whom!
Golf Membership including invoicing and subscription accounting - with Dairy and Event Booking
The golf membership system allows for full control of the day to day running of the club, managing the finances, controlling bookings and event managment with built in invoicing and email confirmations.
The main member database entry screen can be (as in this case) intergrated with a photographic package that will automatically insert a member's photograph in the database record. Also incorporated are membership cards that can be scanned or swiped to retrieve an individuals record.
There are several tabs with other associated information available to the users. Payment history, activities (booked and completed) and audit trail of any changes made to the main record and by whom.
The membership database can also hold non-member information for billing and booking purposes.
Financial is controlled via a payments schedule screen where all entries expected per the selected period are displayed, if the expectation has been satisfied then the payment box is ticked, this controls monthly, bi-monthly, 1/2 yearly and yearly payments, as well as those received by standing order.
Activities and Diary
Any activity that requires booking can be set up in the activity control file then members/nonmembers can be entered for that activity, Packages (a combination of various activities) can also be registered.
The Activity booking
for Diary events can be used for Members, Non Members and general ad hoc package bookings. The system will check for any potential clashes with other scheduled events, Invoices can be automatically generated and email confirmations can be automatically sent. The diary of booked events can be selected between any combination of dates.
The Exam Paper Generation system has been developed over a number of years for multiple choice questions papers, multiple syllabuses are supported with sections over each separate syllabus area. There is no limit on the number of active papers in any section.

Information Stored on each question. Each question is seleactable by question bank, section number, sub section number, Unique Id, any word/phrase contained within the question. With this screen are the full statistics available for this question, which papers it has been used in and when and what the candidates answers have been to this so the difficultly rateing of this question can be accessed. Questions can put on hold or archived. Full auditing of this question is available. (who did what when and why)

Approximate Cost of Hardware and Software.
One Raid Enabled Server loaded with database £700 client Workstations £400. Software £650 + £100 per additional user. Up to 10 users are allowed. Training and Tailoring to be discussed.
This software copes with individual retail orders and multiple disposals from veterinary surgeries, all orders can have extra items attached to them to provide your customer with a full breakdown of all charges.
The user has full control of animal type and can set up whatever is needed and also designate breed. e.g. There can be an animal type of Small Dog, with a variety of breeds Yorkie, Terrier etc. The pricing structure of all work is set up here.
This can be overridden within the order before the final invoice is generated as JRFComputing is aware of how personal this service can be. Please Note all Invoices, statements and credit note are configurable to match your business.
Data Capture and Billing system allows for a Single veterinary Surgery to be billed for multiple cremations
As each cremation is treated as a order, which can then be turned to an invoice on completion where an extra requests can be added. Each order is classified between Trade or Retail and can be treated accordingly. At the end of any billing period all trade related orders can be added to single invoice for correct identification of all relevant information
A full range of finanical reporting and statistical information is available from the database as required, as with the reporting required by MAFF.
Selectable Graphical representation of work carried out by animal type. which can also be broken down to breed if required.
The type of graph display can be altered via a drop down menu to present the information in the way you find it best presented.
Income can also be seen graphically and compared year by year, broken down by trade and retail income.
Document Management System
Document Management System this can either be standalone or run as a module with any of the above packages, this is a user configurable package, where any computer based item can be stored and retrieved (i.e. PDF's, media clips, emails etc) which can also be linked back to a membership record, or linked forward to the DMS.
The DMS works on the priciple of a main storage area followed by multiple sub-classifications so that the documents can be instantly retrievable. For Example clicking the main area control box will retrieve all records stored there, clicking in the sub area will narrow the search down. A single click on the document will display any additional information (i.e. a member record). A double click will run the application associated with what is stored, i.e. If a doc record is stored then the system will run word and display the item.
All records can have multiple sub-cateorisations which are all user definable.
The statistics to the amount of documents stored is instantly available.

Event Management.
JRFComputing has many forms of event management software ranging from systems to cope with 20 to 30 delegates at an event, up to managing Large Scale all day events at historic venues.
JRFComputing software was used to manage the 150 years of Mark Masonary Event at the Royal Albert Hall in 2006 which catered for approaching 6000 attendees, and was hugely sucessful.
JRFComputing's Event management system can be used as a stand alone application or as an add-on module to the Membership Packages.

General Invoicing Package
The invoicing package allows the user to create ad-hoc invoices to his customers, record payments, create credits notes and statements and to monitor income.
There are no restrictions on the number of customers, products or pricing.
The main invoice customer screen. Any invoice number which is double clicked will display the full invoice, any invoice that is not finalised can be amended.
To raise an invoice for this client then the raise invoice button must be pressed. and a blank invoice template will be displayed.
The invoice template. There are no limits to the number of entries that can be made here. The item code must be entered but the description may be changed as can the quantity and the price. This system is suited to the small trader who is not vat registered as this system allows to forms of item entry, Nett or Gross. Nett assumes the nett price is entered and vat is added to complete the gross. Gross amount can be entered and the system will calculate back the vat and Nett amounts.
The invoice once raised can be printed to a printer and sent or printed to a PDF document for emailing to the client. (The same with statements)

Invoicing and Subscription Accounting
All JRFComputing's Membership system come with configurable Invoicing and subscription accounting. Invoice amounts can be generated from a combination of factors, Grade of membership, age, length of service, region etc. I have found that each organisation has their own set of criteria for yearly, or monthly subscription fees, balance recording. The subscription notices/reminders and statements are user configerable to fit the membership's image. Procedures are put in place for automatic lapsing of non-paying members as laid down in the Memberships charter and by-laws.
DD creation and processing is available, sent or email invoice notifications are possible.
Payment processing of items other than subscriptions can be done along with invoicing of non subscription items i.e. Donation Received, Event finance processing etc..
All payments entered in a daily/weekly batch that can can be tied back to bank paying in slip if required.
Batch Processing Header record
A members record showing a recent invoice and items already paid for going back a number of years. This system also copes with companies paying for groups of members and any information that can be recorded about that payment may be entered in the batch entry process.
Mailsort
Mailsort is the post offices defined way of sorting address by the post code and gives significant discounts on quantity of mailing.
The mailsort system can be used to print the labels in the defined format or produce an ASCII file that can be read by an outside printers for parcels and packets. Also supported are up to four bins for magazine inserts.
